How can I integrate Clockify with Pumble and Plaky to streamline team productivity?

CAKE.com Account #

Why do I have CAKE.com Account? Where did it come from?

Previously, our applications (Clockify, Pumble, Plaky) operated independently. To provide you with more tools and smooth workflow, we united these apps into the CAKE.com Productivity Suite. As part of the transition, every existing workspace was upgraded to a centralized CAKE.com Account linked to your email address.

What this means for you:

  • This transition was only a system upgrade and your data and permissions remain unchanged in your existing workspaces.
  • You can now directly switch between the different CAKE.com apps without repeatedly logging in with your credentials.

How to create CAKE.com Account/Organization?

When you create a workspace in any of the CAKE.com apps – Clockify, Pumble or Plaky – you will be required to name an organization in one of the steps of the workspace creation. With the workspace creation, a CAKE.com organization is created and you get access to your own CAKE.com Account.

You can only have one CAKE.com Account with one email address, but you can be a member of different organizations with your CAKE.com Account.

How to access my CAKE.com Account?

To access your CAKE.com Account:

  1. Go to the CAKE.com login page
  2. Choose your preferred authentication method:
    • via Email: Enter your email address to receive a one-time password (OTP)
    • via Google / Apple: Click Continue with Google or Continue with Apple and sign in to your account
  3. Select the organization (if you are a member of more than one)  to complete the login process

You can also log into any of the CAKE.com workspace (Clockify, Pumble, Plaky) and you will automatically log you into your CAKE.com Account associated with the workspace.

Why can’t I log in to CAKE.com apps with my password?

CAKE.com Suite (Clockify, Plaky, and Pumble) have switched to a passwordless login authentication to increase your account security. Instead of entering a password, you need to authenticate your account by using the one-time password (OTP) sent to your email address.

How passwordless login works:

  1. Enter your email address in the CAKE.com login page
A verification code is sent to your email address
  2. Retrieve the verification code from your email address
  3. Enter the verification code in the designated fields in the login page

After authentication, you’ll be automatically logged in to your CAKE.com account.

What should I do if I am not receiving my OTP?

If you didn’t receive the verification email with the OTP, check your spam or junk folder or click Resend email to resend the code. If you still haven’t received the verification email, contact CAKE.com support.

How to change my name, email address, profile picture in Plaky, Clockify, Pumble, CAKE.com?

You can change your profile information from your CAKE.com homepage.

To change profile info:

  1. Log in to your CAKE.com Account
  2. Click on your profile icon at the top right corner of your CAKE.com home page
  3. Select My account
  4. Modify your profile details:
    • Profile picture: Click on the photo and click Change profile picture to upload a new profile picture
    • Name / Email: Click Edit and update your name or email address
  5. Click Save

If you need to change your email address, follow the prompts to verify your new email. You’ll receive confirmation emails to both your old and new email addresses.

I changed my profile data in CAKE.com and it changed in Pumble (or any app) as well, why?

Any changes to your CAKE.com Account profile are automatically applied across all the workspaces in every CAKE.com app within your CAKE.com organization.

Organization #

If I delete my Organization, what happens to all the data? Does it affect workspace data too?

After you delete the organization:

  • All organization data, including data across all products will be permanently deleted and cannot be restored
  • All users previously deactivated on product workspaces will be permanently deleted; pending invitations are canceled
  • All active subscriptions will be terminated
  • In case this is your only organization, your CAKE.com Account, along with all your personal information will also be deleted. You will be redirected to the cake.com login page

I want to delete my Organization, but it says I cannot do it because I still have some active users. What should I do?

Before deleting your organization, you must deactivate all users across all workspaces and remove any pending user invitations. Depending on your role and permissions, you can manage these actions from the Organization page in the CAKE.com homepage. Check out this guide on how to delete your organization.

I deleted a workspace and my Organization disappeared, why?

If you only have one workspace in an organization and you delete it, the entire organization will be deleted as well. Please note that deleting the sole workspace will also permanently remove all data associated with both the workspace and the organization.

Workspace #

Why do I need to choose an Organization when creating a Workspace?

Each workspace needs to belong to an organization. You can be a member of more than one organization with your CAKE.com Account (with your email address). Organization owners and admins who belong to multiple organizations and want to create a new workspace need to choose in which organization to place the new workspace. For admins, you can choose among the organizations in which you have permissions to create a workspace.

I don’t have a company. Do I still need to create an Organization?

Yes, but it doesn’t have to represent an actual business. The CAKE.com Suite is designed to accommodate diverse business needs, from solo freelancers to large-scale companies. With your CAKE.com Account, the “Organization” is simply a private space, like a central folder, where all your data and workspaces are kept together. If you don’t have a registered company, you can use your name or project name (e.g. Kate’s Projects) when prompted to enter an organization name.

A new way to create a Workspace – directly from the Organization?

If you are an organization owner or admin who would like to create a new workspace in one of the CAKE.com apps you are already using or try out a new CAKE.com app, you can create a new workspace directly from your CAKE.com homepage. You can only create a workspace in the organization you have a permission to create a workspace.

To create a workspace:

  1. Navigate to Workspaces from the left sidebar
  2. Click on Create workspace in the top right corner
  3. Select the product from the dropdown
  4. Enter the workspace name
  5. Click Create to complete the process

As a result, your created workspace will appear in the list of workspaces in the organization.

Why are my workspaces (Plaky, Clockify, Pumble) in different organizations?

If you created your workspaces in any of the CAKE.com products (Plaky, Clockify, Pumble) using different emails before the introduction of the CAKE.com Account, these workspaces have been transferred to separate organizations.

If you’d like to have them within the same organization, you must first ensure that all organizations are under the same email address before initiating the workspace transfer. Check this guide on how to transfer your workspace to another organization.

How to rename a workspace?

You can rename a workspace both at the organization level and within the workspace settings.

To rename a workspace from the organization level:

  1. Go to the Workspaces page
  2. Click the three-dot icon of the workspace you wish to rename
  3. Click Edit name and image
  4. Update the workspace name
  5. Click Save changes

To rename a workspace at the workspace level:

  1. Go to the workspace settings within the product (Clockify / Plaky / Pumble)
  2. Update the workspace name as needed

I cannot delete my workspace, it says I cannot do it because I still have some active users. What should I do?

Before you can delete your workspace, you must deactivate all users and remove any pending invitations. Depending on your role and permissions, you can manage this either from the organization settings or directly from the workspace settings within the product. Check this guide on how to deactivate the user from the workspace.

How to transfer workspace ownership?

You can only transfer ownership at the organization level. To be able to transfer ownership, the new owner must be active in all workspaces in the organization. Check this step-by-step guide on how to transfer ownership.

Users #

How to deactivate a user from workspace?

On the Members page, organization owners and workspace admins can deactivate users from specific workspaces.

If you are looking into permanently deleting a user, check this article on deleting user profile from the organization.

How do I leave an organization or workspace I no longer work for?

If you wish to leave an organization or workspace, you must be logged in to your CAKE.com account to do the following:

  • To leave a workspace: Navigate to the Workspaces page, click the three-dot icon of the workspace you want to leave and select Leave workspace
  • To leave the organization: Navigate to the Organization page and click Leave Organization

Leaving the workspace or organization is permanent and if you wish to join again, you need to contact the organization owner or admin to invite you again to gain access to the organization.

How do I permanently delete my CAKE.com Account?

If you wish to delete your CAKE.com account, click your profile photo and select My account. From this page, click Close account on the side bar and follow the instructions to delete your account. Deleting your account will also delete your data from the system.

I am an admin in a workspace, but I can no longer perform some actions that I could earlier, why?

With the CAKE.com Suite, there are some changes in the permissions made to the workspace admin role.

Permissions of workspace admins within the CAKE.com organization:

  • Can manage the Bundle (activate, add, or remove seats), but cannot update customer or invoice information
  • Cannot delete a workspace
  • Cannot delete user profile information
  • Cannot edit the profile information of other users

What is the difference between an Organization Owner and a Workspace Admin?

Organization owner is the highest role in the organization and has all the permissions to create, modify, and delete data in the organization. Workspace admin is a role assigned by the organization owner to each app (Clockify, Plaky, Pumble) and has permissions to create and modify data in the workspace they are assigned to. Each app also has their own permissions applicable to workspace admins.

How do I customize and manage user roles and permissions across Clockify, Pumble, and Plaky?

You can manage user roles on the respective user management or team page of the CAKE.com app you are using. You can also view the roles assigned to your organization members in the Members page of the CAKE.com homepage. Check this article to learn more about roles and permissions in CAKE.com.

Billing and Subscription #

Can I keep my paid subscription/subscribe to just one CAKE.com app?

Yes, you can subscribe to just one CAKE.com app and keep your paid subscription for that app only. Every app in the CAKE.com Suite (Clockify, Pumble, Plaky) offers its own individual subscription plans. You only pay for what you actually use.

Depending on your team or organization needs, you have the following options:

  • Individual plan: Purchase a paid subscription for a single app (e.g. Clockify Pro) and keep other apps on Free plan
  • Bundle plan: Upgrade to the CAKE.com Bundle if you need Enterprise-level features across all three apps simultaneously.

For details on mixing different subscription plans for the same app, see the next question below.

Can I have different workspaces of the same app (e.g. Clockify) in one organization with different subscription plans?

Yes, you can have multiple workspaces of the same product that is part of our CAKE.com Suite and with different subscription plans. Every workspace in your organization is treated as an independent entity and can be on a different subscription plan.

For example, in your organization:

  • Clockify Workspace 1 could be on a Free plan
  • Clockify Workspace 2 could be on a Pro plan
  • Clockify Workspace 3 could be on an Enterprise plan

An exception to this is if your organization subscribes to the CAKE.com Bundle, it automatically replaces all individual subscription plans and applies to all workspaces across the CAKE.com apps

To monitor or manage your various plans, go to the Subscriptions page in your CAKE.com Account.

I am a member of 3 paid workspaces in one Organization and they charge my seat for all 3. Why?

Individual subscriptions are managed at the workspace level, not the organization level. Each workspace has its own subscription. If you belong to three separate paid workspaces, you occupy a paid seat in each one, resulting to three separate charges.

This billing structure is how the system manages subscriptions for individual workspaces, and customer information is shared across all products within the organization. If you wish to reduce costs:

  • If you need Enterprise-level features across multiple apps, consider upgrading to the CAKE.com Bundle to combine your paid individual seats into a bundle seat.
  • If you don’t need Enterprise-level features in all areas, make sure to keep other workspaces on Free plan.

How do I resolve a failed payment for my Clockify subscription?

If you have a failed payment, click the Retry payment button to process the payment again. Always make sure to keep your payment information up to date when paying for your subscription. If the issue remains unresolved, please contact [email protected] for assistance.

How do I request a copy of a missing invoice and receipt?

You can access the invoices for your paid subscriptions when you navigate to the Subscriptions page from the CAKE.com homepage. When you click on the workspace on the list, you will be redirected to the Subscription details page with the Invoices tab containing a list and downloadable copy of your invoices. If you can’t find the invoice you’re looking for, send an email to CAKE.com support with details of your subscription.

Are there any additional taxes to my CAKE.com Suite subscription?

It depends on your company’s country of origin. All the prices are displayed without taxes, and if we are legally required to collect VAT from your country, then that tax will be added on top of the final price, which you will see at checkout before making a payment.

If you are tax-exempt, please reach out to our billing specialists at [email protected] and provide a valid form/document for your exemption. This will allow us to validate your tax-exempt status and update your account accordingly to ensure accurate billing.

How do I update my payment information for my Clockify subscription?

To update your payment information from the CAKE.com homepage, navigate to the Subscriptions page and select the product subscription you wish to update. You will find the Payment Information section under the Billing tab. Note that you can only edit this information if you are the Organization owner or the Workspace admin of the selected workspace.
